Driver expenses on the road: collecting receipts without losing any

A driver's expenses on the road (diesel, tolls, parking) get lost when the receipt travels in a pocket and is typed in days later. The way to stop them getting lost is simple: a photo of the receipt on the spot, tied to the service and the coach, an office review with a reasoned yes or no, and the approved expense going straight to that coach's cost.
That is how Bus Center's driver portal handles it, even without signal. We are not talking here about per-diem amounts or what each collective agreement says: we are talking about how expenses are collected, reviewed and recorded.
Why driver receipts get lost
They get lost because they travel separately from the service. The diesel receipt, the toll receipt and the parking receipt reach the office by message, as a loose photo or on paper at the end of the week, and someone has to guess which service and which coach they belong to before typing them in.
When that happens, the expense is either not recorded, or recorded without knowing which coach to charge it to, or recorded twice because it arrived through two channels. All three spoil the same figure: what each coach really costs.
How to collect them on the spot
The driver sends the expense from their mobile with a photo of the receipt as soon as they pay. In the portal they choose what they paid for (fuel, toll, parking, workshop or repair, cleaning, per diem or other), enter the amount the way it is written in Spain, with a decimal comma, and attach the photo or a PDF.
If the expense belongs to a service, the coach is that service's coach: the driver is not asked what the program already knows, and cannot charge the expense to a coach they were not driving. If the expense does not belong to any particular service, they choose the coach from the list or leave it without a coach. For diesel they can also add the litres and the kilometres, and for any expense, the supplier and a comment.
The portal does not allow a date that has not yet arrived, and the driver can see at any time what they have sent and where it stands: pending, accepted or rejected, with the reason.
Without signal, and without duplicates
On the road the signal drops, and an expense cannot wait for it to come back. In Bus Center's portal, the driver can still log the expense: it stays saved on their mobile, warns them that it has not been sent, and is sent automatically when the signal returns.
And it is sent only once. Each submission carries its own identifier, so a submission that is cut off for lack of signal and then repeated leaves a single expense, not two. If the driver retries, the program answers with the expense that already exists.
How the office reviews them
The office has in one place everything the drivers have sent that is still waiting for a decision, with expenses, papers and incidents counted separately, so they know whether there are two minutes of work or twenty. Before deciding, they can open the receipt and look at it.
For each expense there are three answers: accept it, reject it, or return it for correction. To reject or return, the program asks for the reason, because without it the driver would not know what to do. What is returned does not get stuck: the driver withdraws it and sends it again correctly, and the rejection stays on record with its reason.
What matters is that nothing the driver uploads counts until the office approves it. The portal is an inbox, not an expense ledger.
Where each approved expense goes
Approval is the only moment the expense enters the fleet accounts. At that moment it becomes an expense of the coach, with its description (what was paid for, who paid and on which service) and a note recording that it was sent from the driver portal. The receipt is attached to the final expense, which is where whoever reviews the accounts will look for it.
That is why it matters that every expense carries its coach: in Bus Center, fleet expenses go by coach, not by service, and that is how you find out what each one actually makes. From there it counts towards that coach's cost. Bus Center calculates profitability by coach and by period, what it brought in minus what it cost, and expenses that are not tied to any coach, such as a stray toll, are shown separately. We explain it in profitability per coach, and diesel tracking in fleet fuel tracking.
A routine for the office
With expenses arriving on their own, the office's work comes down to reviewing. A routine that works without effort:
- Check the pending inbox once a day, ideally at the same time.
- Look at the photo before approving: amount, date, and whether the receipt is legible.
- If something is missing, return it with a specific reason (“the return-trip toll receipt is missing”) rather than simply rejecting it.
- Ask drivers to send each receipt when they pay, not at the end of the week.
You will find the rest of the portal in what a driver needs on their mobile and in the drivers section (in Spanish).
Frequently asked questions
What happens if the driver has no signal when they pay?
They can still log the expense: it stays saved on their mobile, warns them that it has not been sent and is sent automatically when the signal returns, without duplicates.
Does the expense count as soon as the driver sends it?
No. It comes in as pending and only goes into the fleet accounts when the office approves it.
Can a wrongly submitted expense be sent back?
Yes. The office can return it for correction or reject it, and in both cases has to write the reason for the driver.
Does Bus Center calculate drivers' per diems?
No. The driver can send a per-diem expense with its receipt, but the program does not calculate per-diem amounts or apply collective agreements.
